Subscriptions

The Subscriptions pages in SaaS show consolidated data for your SaaS subscriptions. Use these pages to gain visibility and to find cost optimization opportunities.

Description

The Subscriptions pages show consolidated data for all discovered and manually added subscriptions in your SaaS estate, based on the discovery sources that you connect to and the cost, duration, and quantity information that you add. The Subscriptions page shows all usage metrics for your paid and free subscriptions. The Subscriptions cost page shows all costs related to your paid subscriptions. Select a subscription to view the users and optimization opportunities for that subscription.

Vendors often license and sell their SaaS applications using a subscription model. A subscription is a legally valid agreement with a vendor that entitles you to use a SaaS application for a specific period of time. Subscriptions can also be called SKUs, subscription plans, licenses, license plans, or entitlements, depending on the vendor. Subscriptions are usually billed regularly and renewed until cancelled. A vendor can offer subscriptions for single applications or for a combination of applications.

Subscription management

Subscriptions are primarily added to the system through the discovery sources that you connect to, but you have to add cost, duration, and sometimes quantity data manually. If you have subscriptions that cannot be discovered, you can add them manually and also add users to them. For more information, see Manage SaaS subscriptions.

The Subscriptions page shows all usage metrics related to your subscriptions.

Type

Description

Indicators

The indicators show information for the current month:

  • Purchased are all subscriptions, discovered and manually added.

  • Unassigned are all subscriptions that are available to be assigned to a user.

  • Assigned are all subscriptions that are assigned to a user.

  • Active are all subscriptions where the assigned users have been active in the application within the last 30 days.

  • Inactive are all subscriptions where the assigned users were active in the application more than 30 days ago.

  • No activity are all subscriptions where the assigned users have never been active in the application.

  • Not monitored are all subscriptions assigned to a user where activity cannot be monitored for the application.

Subscriptions marked as Free are excluded from the indicators.

Chart

The Subscriptions usage chart shows a monthly breakdown of subscription numbers for all types of user activity and unassigned subscriptions.

Table

The table lists all your SaaS subscriptions, including subscriptions marked as Free, and their usage metrics in relevant applications.

Subscriptions cost

The Subscriptions cost page shows all costs related to your subscriptions.

Subscriptions marked as Free are excluded from the indicators, chart, and table on this page.

Indicators

The indicators show cost information for the current month:

  • Total cost is the total cost of subscriptions, discovered and manually added, for the current month.

  • Active is the total cost of subscriptions where the assigned users have been active in the application within the last 30 days.

  • Not monitored is the total cost of subscriptions assigned to a user where activity cannot be monitored for the application.

  • Potential savings is the total cost of all subscriptions that are unassigned or where the assigned users are inactive or have no activity in the application.

  • Inactive is the total cost of all subscriptions where the assigned users were active in the application more than 30 days ago.

  • No activity is the total cost of all subscriptions where the assigned users have never been active in the application.

  • Unassigned is the total cost of all subscriptions that are not assigned to a user.

Chart

The Subscriptions cost chart shows a monthly breakdown of costs for active users and subscriptions where application activity is not monitored, and the total potential savings.

Table

The table lists all your SaaS subscriptions and their relevant cost metrics.

Indicators

The indicators show essential information about the subscription:

  • Total quantity is the amount of subscription units that you have purchased, and their cost.

  • Potential savings is the total cost for all unassigned subscriptions and for subscriptions where the assigned users are inactive or have no activity in the application.

Subscriptions marked as Free show no indicators.

Chart

The Subscription costs chart shows a monthly breakdown of costs for active users, cost for users where application activity is not monitored, and potential savings.
