Add or edit agreements — Reference

Refer to the tables below for field descriptions when you want to add a new agreement or edit an agreement in SAM Core on Snow Atlas.

General

The General tab lets you enter general information on the agreement, for example, agreement type and agreement number.

Note

Depending on the selected agreement type, available fields and options vary.

Field label

Type

The type of agreement. (Required)

For more information, see Agreement types.

Note

  • The agreement type cannot be edited for an already added agreement.

  • You can only attach licenses to agreements of the type Software agreement.

Agreement number

The agreement number. (Required)

A unique number makes it easier to identify the agreement.

Agreement name

The name of the agreement. (Required)

A unique name makes it easier to identify the agreement.

Auto attach computers

Select this setting and also specify an organization node, to have computers from that organization node automatically attached to the agreement.

Note

This setting is not available for agreements of the type Software agreement.

Subscription agreement

Select this setting if this agreement is a subscription agreement that you want to attach licenses to. For more information on subscription agreements, see Agreements.

Note

Licenses that are attached to a subscription agreement are only valid during the subscription agreement period. This means that a license attached to a subscription agreement will have its own period overridden by the subscription agreement period.

Upgrade rights

Select this setting if upgrade rights apply for the agreement. This means that every license you attach to this agreement is purchased with upgrade rights.

Note

This setting is only available for agreements of the type Software agreement.

Include in searches where license purchase date is outside of active period

Select this setting if you want the agreement to always be visible when you search for and attach agreements to license purchases, even if the agreement period has expired or has not yet started at the time of the license purchase date.

Agreement periods

The Agreement periods tab lets you enter start and end dates for the agreement.

Note

Agreement periods cannot overlap.

Contact info

The Contact info tab lets you add contact information for both the contractor and the agreement owner in your organization. The contractor is the part with whom you have signed the agreement; either an application manufacturer or a reseller.

In the Contractor and Contractor contact sections, you can either add the information manually or automatically fetch it from the Manufacturers and vendors page, if you have imported contact information into SAM Core already. For more information, see Manufacturers and vendors.

Contractor name

The contractor's name.

Contractor website

The contractor's website.

Contractor phone

The contractor's phone number.

Contractor contact

The name of the contact person at the contractor.

Contractor contact e-mail address

The e-mail address of the contact person at the contractor.

Contractor contact phone

The phone number of the contact person at the contractor.

Local contact name

The name of the agreement owner in your organization.

Local contact department

The department that the agreement owner in your organization belongs to.

Local contact e-mail address

The e-mail address of the agreement owner in your organization.

Local contact phone

The phone number of the agreement owner in your organization.

Alerts

The Alerts tab lets you enable alerts related to the agreement. This is useful for keeping track of the agreement's expiration date.

If you have enabled agreement alerts, they will appear on the Home page and on the Overview page for agreements.

Activate alerts on and before agreement expiration

Select this setting if you want to enable agreement alerts according to the time periods you set for Renewal, Warning, and Critical.

Renewal

The number of days before expiration when this agreement needs to be renewed or is automatically renewed, as stated in the agreement.

Warning

The number of days before expiration when an agreement alert will appear as a warning.

Critical

The number of days before expiration when an agreement alert will appear as critical.

Description

The Description tab lets you manually add specific information related to the agreement as free text, such as metrics and use rights. When you want to add licenses to the agreement, this can save time since the information is available here and you do not have to search any attached agreement documents.

Documents

The Documents tab lets you upload documents and links related to the agreement. For more information, see Manage documents and links.

Field label

Description

Title

The title of the manually uploaded document or link.

Saved

The date when the document or link was added.

Custom information

The Custom information tab lets you add data that needs to be managed but does not have a pre-defined entry in SAM Core on Snow Atlas. For more information, see Manage custom fields.

The value set for the custom field.
