Archiving and unarchiving licenses
A license can be archived, for example if it is not in use or if it is in a draft stage. It is kept in the database for future reference, in contrast to when a license is deleted and removed from the system completely. An archived license can be viewed but will not be included in compliance calculations. During the archiving procedure, you will have the option to archive connected licenses and agreements.
If you archive a base license without its upgraded licenses it will make the upgraded licenses become incomplete, since the base license is missing.
A license can be unarchived and will then be included in compliance calculations. During the unarchiving procedure, you will have the option to unarchive licenses that were archived at the same time as the selected license.
A license can be unarchived only together with its base licenses and upgraded licenses. A license will be reconnected to its previous agreement when it is unarchived.
Archived licenses can be viewed in the report Archived licenses. For instructions how to find it, go to Find a report.
Archive license
On the Licenses menu, select List all licenses or Search for licenses to find the license to archive.
Select the license row.
The License detail view appears.
On the context menu, select Archive license.
The Select licenses view appears, which shows all base licenses and upgraded licenses connected to the selected license.
Select the check boxes for the licenses to archive.
Select the Next button if it is enabled, indicating that there are agreements connected to the selected licenses. Otherwise, continue to step Step 7.
The Select agreements view appears. The list shows agreements connected to the selected licenses.
Select the check boxes for the agreements to archive.
Select Archive.
The selected licenses and agreements are archived, and you are returned to the License list view. Use the Archived column to either show or hide archived licenses in the list.
Unarchive license
On the Licenses menu, select List all licenses.
In the License list, select Yes in the menu in the Archived column.
Select the license row.
The License detail view appears.
On the context menu, select Unarchive license.
The Select licenses view appears, which shows all base licenses and upgraded licenses connected to the selected license.
Select the check boxes for the licenses to unarchive.
Select the Next button if it is enabled, indicating that there are agreements connected to the selected licenses. Otherwise, continue to Step 8.
The Select agreements view appears. The list shows agreements previously connected to the selected licenses.
Select the check boxes for the agreements to unarchive.
Select Unarchive.
The selected licenses and agreements are unarchived, and you are returned to the License list view.
